Delegate FAQs
Agenda & Event Format
All attendees in the room will have 3-4 hours of networking provisioned as a part of the conference program each day. Ranging from refreshment breaks, to speed networking, to organized breakout and roundtable sessions. All refreshment breaks will be held in the exhibition area, providing regular exposure throughout the day to your booth. For specific information about networking at this event, please refer to the Full Event Guide.
Breakouts are discussion sessions grouped by shared interests e.g. a theme, topic area or question. These sessions will have a dedicated moderator who will set the context and start the discussion, after which you will be able to discuss the theme, topic area, or questions with your peers in the same room. This is your opportunity to get specific advice on your current challenges and share lessons learned in a more intimate setting.
Yes. More information will be shared by your Event Manager in the month leading up to the conference. This will allow you to send direct messages to attendees who have chosen to appear on the delegate list, ask live questions during all presentations, and provide real-time updates to the event schedule.
On conclusion of the event you will be provided with information on how to access the post-event materials, this includes any recordings we have been given permission to share from the main conference days (April 27-28).

Tickets & Registration
Package details for your registration can be found on your invoice which is attached to your confirmation email. All registration includes lunches, refreshments, and documentation. It does not however include travel or accommodation, or access to additional facility tours.
Yes, you may register on behalf of someone else. When you book online we'll need you to provide the name, job title, company and contact details of the person you wish to register so we can make sure they receive their details.
Conference passes can be transferred to a colleague at any time before the start of the event.
Hybrid attendance passes will not be available for this event. Your physical access pass will permit you to access all in-person content only on the scheduled event dates.
You do not need to register for individual track session on the main conference or workshop days. Please refer to the Event Guide for information on the tracks available. Our onsite team and event app will communicate locations of all sessions at the conference.

Yes, we do - we encourage teams to attend the meeting in order to make more connections and multiply the value that you can take back to your organisation. Our team discounts start at 10% for a group of 4. For more information, please visit the pricing page.
Conference Venue, Travel & Accommodation
All attendees are responsible for making their own travel and accommodation arrangements. We recommend that you secure flexible booking options and rates when making these arrangements, in case of a change in circumstances in the coming months.
As the event will be taking place at the Phoenix Convention Center, there will not be any discounted room rates this year. However, you can find further guidance and recommendations on our accommodation page of the website. You Event Manager will also be happy to help with any specific questions if you reach out directly.
Any reservations made for travel, accommodation or other expenses associated with the event is done so, at your own risk. Therefore, we recommend that you secure flexible booking options and rates where possible.

Onsite Safety & Wellbeing
The safety and welfare of all our attendees remains paramount. We will adhere to government, local and hotel-specific guidance and regulations to ensure safety and hygiene measures are in place.
You will receive full guidance on specific provisions being put in place from your Event Manager 2-3 weeks prior to the event taking place.
Please notify your Event Manager immediately if you display symptoms of Covid-19 within 14 days of the event starting.
Please notify one of the Hanson Wade onsite team immediately if you start to feel unwell or need assistance. They will be able to give you further support and direction.
Refunds & Cancellations
If you can no longer attend the event, you may cancel your booking up to 14 days prior to the date of the event by notifying us by email at customerservice@hansonwade.com.
Upon cancellation you will be entitled to receive a credit for a future event of your choice (up to the value of sums paid by you in respect of the event).

Offsite Facility Tours
The 2022 Offsite Facility Tour Program will be running on Tuesday, April 26 alongside the Workshop Day being hosted at the Phoenix Convention Center. For timings, please visit our Tour Program page on our website or download the full event guide for more information.
All tour pass holders will receive access to the full two-hour tour and presentations, and will be able to be provided with optional transfer to and from the conference center. Travel time is not included in the tour time advertised and so please leave at least 45 minutes either side for travel to and from the hotel.
All tour attendees will receive a code of conduct prior to attending which they will need to sign before attending the tour. This will ensure that all tours are conducted in a safe manner, in line with current State and Government guidelines at the time of the conference taking place. Failure to sign this may result in refusal of attendance.
Yes. Tours will run alongside workshops but are timed in such a way that you will also be able to attend other workshops on the same day. If you have both a tour and workshop pass, you will also receive all of the post-event materials of sessions from that day that we have been given permission to share by workshop leaders.
If you can no longer attend we will be able to swap your attendance on the tour for a colleague who is attending, or if this is not preferable, we will be able to cancel your place and you will be entitled to receive a credit for a future Event of your choice (up to the value of sums paid by you in respect of the Tours).
Yes, you can swap attendance on a tour to a colleague at anytime prior to the event starting. Please just email your Event Manager directly with details of your booking and the individual you would like to transfer your place to, and they will be able to get this arranged.
No, these will not be recorded and you may also be advised by the tour host that photography is also prohibited. If you do not respect these regulations, you will be asked to leave the tour immediately. This decision is at the full discretion of our tour provider.
If tours are sold out, you will be able to register your interest upon booking and add yourself to the relevant waiting list. Tour places will be filled on a first come, first served basis and you will be contacted directly by your Event Manager should a place become available for you.

Speaker FAQs
Your Participation
All presentations are required a week before the meeting. Reminders and deadlines will be sent to you by email by your Event Manager and Program Director.
All presentations and panel discussions taking place across the main conference days (April 27-28) will be recorded and streamed live on our virtual event platform for virtual attendees. If you are presenting on April 26 or 29, your content will not be recorded. We will also ask your permission to share your session with all attendees after the event. All approved sessions are saved on a password protected website for 3 months post meeting.
We will ask your permission to share your presentation with attendees, which will be made available as a PDF at the end of the meeting.
If you are planning to present sensitive data you are welcome to share an amended version with our attendees. It would be appreciated if this was provided 3 days prior to the event at the latest.
All approved presentations are saved on a secure and password protected website, downloadable

Please note that all times and dates are subject to changes, so please be aware on any updated that may be communicated from your Program Director.
